Price Policy Guard

Privacy Policy

Effective date: October 31, 2026

This policy explains how Price Policy Guard handles information when a merchant installs and uses the app. Price Policy Guard is read-only: it checks new Shopify orders against the discount policy you define and does not change anything in your store.

Who we are

Price Policy Guard is operated by Zenvia LLC, located at 1500 North Grant Street, Suite N, Denver, Colorado 80203, United States (“we”, “us”). This policy applies to merchants who install the app and to people who visit this website. For privacy questions, contact privacy@pricepolicyguard.com. For help with the app, contact support@pricepolicyguard.com.

Summary

  • Price Policy Guard reads order and product information from Shopify with read-only access and never writes to your store.
  • It does not intentionally store customer names, email addresses, phone numbers or shipping addresses.
  • It stores your discount policy and the results of its checks so the Dashboard can show them.
  • Email alerts are optional and go only to the address you choose.
  • Saved results are deleted automatically after a fixed retention period, and the data we hold for your store is deleted from our live database when you uninstall.

Information we process

Store and sign-in information

Your Shopify store address (the myshopify.com domain), and the authentication session data Shopify provides when you install the app, such as the access token and the permissions you granted. Where Shopify supplies them, a session record can also include limited details about the staff account that signed in.

Settings you provide

  • Your discount policy: the discount codes you approve, the automatic discount titles you approve, and the maximum percentage for manual discounts.
  • Alert settings: whether email alerts are on, the alert email address if you enter one, and when alerts were turned on. This is the merchant’s contact address, not a customer’s.

Order and pricing information used for monitoring

When a new or updated order arrives, we use the order only as a trigger and fetch the details needed for the price check from Shopify. We store these fields:

  • order number and Shopify order and line-item identifiers
  • order date and product (line-item) title
  • quantities, prices, currency and amounts after discounts
  • tax information needed to compare prices on the same basis
  • discount codes, automatic discount titles and discount amounts
  • the product’s catalog price when checked, for reference only

Results we calculate

The classification of each line (Leak detected, Review, Expected discount or Secure), the reason text, the estimated potential leakage amount, and a copy of the policy the result was calculated against.

Operational records

A processing queue (order identifier, event type, status and error state), alert delivery records (identifiers, status, attempts and timestamps), and server logs. We design our logs to contain operational details such as event types, counts and error codes, and not customer data, access tokens or email addresses. Our hosting provider’s standard network logs may include technical request information, such as the IP address of a request made to our servers.

Information we do not intentionally store

Price Policy Guard does not intentionally store customer names, customer email addresses, customer phone numbers or shipping addresses, and it does not store payment card details.

This website

The public pages do not ask you for personal information. We use only the cookies or browser storage needed to sign in and keep your session, and we do not currently use advertising or analytics trackers.

Why we use it

  • To compare each order’s discounts with your policy and show the results on your Dashboard.
  • To re-check recorded results when you change your policy or when Shopify reports a change to an order.
  • To send the email alerts you turn on.
  • To keep the app secure, fix problems and answer support requests.
  • To meet legal obligations and Shopify’s app requirements.

We do not sell merchant data and we do not use it for advertising.

Roles and your customers’ data

Price Policy Guard reads order information from Shopify to do the price checks you ask for. For any personal data of your customers that appears in that order information, you are the controller (in some laws, the “business”) and we process it on your behalf, only to provide the app to you as described in this policy. For information about you and your store, such as your store address, sign-in session details and alert email address, we act as an independent controller.

  • We process this information only to provide, secure and support the app, and as the law requires.
  • We do not sell it, do not share it for advertising, and do not use it for marketing, profiling or decisions about customers. The app does not use customer data for anything that depends on a customer’s consent or opt-out, so there are no such customer choices for it to apply.
  • We share it only with the service providers named in the Service providers section below, who process it to run the app.
  • As the store operator, you are responsible for any notices the law requires and for having a lawful basis for your own use of your customers’ data in Shopify. Please do not enter customer personal data into the app’s settings.

How this applies to you. By installing Price Policy Guard and using it, you accept this section, together with the Retention, Uninstall and deletion, Shopify privacy requests and Security sections, as the terms on which Zenvia LLC processes your customers’ personal data for you. These are the privacy and data protection terms between you and us. If this policy is unclear on that data, this section and those sections apply.

  • Your instructions are how you set up and use the app: the discount policy you define, the settings you save and the Shopify permissions you approve. We do not use this data for any other purpose.
  • We handle Shopify’s customer data request and erasure notices, and deletion when you uninstall, as described in the sections named above.
  • If you do not agree, please do not install or use the app. You can uninstall it at any time.

Read-only Shopify access

Price Policy Guard asks Shopify for two read permissions: read_orders to read the orders it checks, and read_products to show a product’s catalog price for reference. It also offers one optional read permission, read_discounts, which you can allow from Settings so the app can list your Shopify discount codes and automatic discount titles for you to choose from. That list is shown in Settings only and is not stored; only the codes and titles you approve are saved, as part of your discount policy. The app works without this optional permission. It does not ask for permission to change orders, products, discounts, prices or customers, and it makes no changes to your store.

Email alerts

If you turn on email alerts, we send a message to the address you enter when a new leak is detected. The message contains the order number, the product title, the estimated potential leakage amount and the reason. It does not contain customer details. Alert emails are delivered through Resend, which receives the recipient address and message content for that purpose. You can turn alerts off in Settings at any time. If an alert has already been handed to the email provider when you uninstall, it cannot be recalled.

Service providers

We use the following providers to run the app, and share information with them only as needed to do so:

  • Hosting: Render
  • Database: Neon (PostgreSQL)
  • Email delivery: Resend
  • Shopify, the platform the app runs on and the source of order data.

We may also disclose information when the law requires it or to protect the rights and security of our users and the app.

Retention

We keep your discount policy and alert settings while the app is installed. Order-level data in our live database is deleted automatically after a fixed period (a day here means 24 hours):

  • Saved price-check results are deleted 90 days after the order date.
  • Processing-queue records are deleted 30 days after they are completed or have failed for good.
  • Alert delivery records are deleted 180 days after they were sent or suppressed, or 90 days after a delivery failed for good.

Records that are still waiting or being processed are not deleted by these rules. Because of this, the Dashboard shows the last 90 days of orders. Everything else is deleted from the live database when you uninstall, as described below.

Backups. These periods apply to the live database. Our database provider also keeps backups on its own schedule, and deleted records can remain in those backups until the backups expire. We do not delete individual records from provider backups.

Uninstall and deletion

When you uninstall Price Policy Guard, Shopify notifies the app, and we delete the data we hold for your store from our live database in one operation: the authentication session, your policy, saved results, the processing queue, alert settings and alert records. Shopify also sends a store-erasure request after uninstall, and we run the same deletion again.

Shopify privacy requests

We respond to the privacy requests Shopify sends to the app:

  • Customer data request: Price Policy Guard does not intentionally store customer-identifiable data, so there is no customer profile to export.
  • Customer erasure: we delete the order-level records we hold for the orders named in the request.
  • Store erasure: we delete all data we hold for the store.

Customers who want to exercise privacy rights should contact the merchant they bought from, who can use Shopify’s tools.

Security

  • Webhooks from Shopify are verified with Shopify’s signature before they are processed.
  • The app has read-only access and stores only the order fields needed for price checks, not full orders or webhook payloads.
  • Each store’s data is kept separate and scoped to that store.
  • Traffic to the app is encrypted in transit with HTTPS/TLS. Our database provider requires encrypted connections and encrypts stored data at rest.
  • Secrets such as API keys are kept in server configuration, not in the app’s code or pages.

No system is completely secure, and we cannot guarantee absolute security.

International processing

Information may be processed and stored in countries other than your own, depending on where our hosting, database and email providers operate. Processing regions: Render: Singapore (Southeast Asia); Neon: AWS Asia Pacific 1 (Singapore).

Where the law requires a specific transfer mechanism for a transfer of personal data, contact us using the privacy contact below and we will work with you to put one in place.

Your choices and rights

  • You can change your discount policy and alert settings in the app at any time, and turn email alerts off.
  • You can uninstall the app to have your store’s data deleted.
  • You can contact privacy@pricepolicyguard.com to ask what we hold about your store, to correct it, or to request its deletion.

Depending on where you live, you may have additional rights under applicable law. Contact us and we will respond as the law requires.

Changes to this policy

We may update this policy as the app changes. When we do, we will change the effective date at the top of this page and, where appropriate, let merchants know. If you keep using the app after the new effective date, the updated policy applies to you.
